At MedicoTrans, we have adopted a logical and systematic approach towards the medical transcription process.
Dictation Capture
For healthcare professionals, MedicoTrans' transcription process begins with capturing the doctor's/healthcare provider's dictation using a Dictaphone or a toll-free dial-in server. Dictation systems we use are available for 24x7 access and allow you to dictate from anywhere and at anytime. (This feature is currently not available and will be activated soon. In the meantime, the healthcare provider can capture their dictation directly into their computer and upload the file securely to our FTP site.) For MTSOs, MedicoTrans' transcription process begins with downloading the dictation files from the client's FTP site.

At MedicoTrans, we then convert this dictation into digital format and store it on our secure server. The dictation files are given to our professional medical transcriptionists who interpret and transcribe the dictation into document files. MedicoTrans’ transcriptionists use state of the art equipment to listen to the voice recordings of the healthcare professionals and convert it in to text format.

We conduct regular physician-led training sessions for our staff to impart knowledge about anatomy, physiology, diagnostic procedures, pharmacological terms, medical terminology, and abbreviations. Continuous learning is a way of life at MedicoTrans and is an integral part of our growth strategy.

Delivery
After quality assurance, we deliver the transcripts right back to the healthcare providers or MTSO as a 448-bit strong encrypted attachment via e-mail or directly upload the encrypted file to our server so that the providers or their staff can download from it. The transcripts can be delivered in any format like MS Word, WordPerfect, PDF, etc., as per specification. We provide an excellent turn-around time of a minimum of 12 hours depending on customer needs. We can also provide STAT files in less than 2 hours, if notified.

MedicoTrans has expertise in transcribing reports like discharge summary, clinic notes, progress notes, emergency notes, radiology consultation reports, history and physicals, general correspondence, physician letters, etc.

AAMT Guidelines
MedicoTrans believes that transcribed documents are a vital and necessary component to the healthcare record. So attention to quality should reflect an understanding that even minor errors in the record can create health risks for a patient and can diminish the credibility and perceived competence of the healthcare provider.

Therefore, MedicoTrans follows Principles of Quality put up by AAMT (American Association for Medical Transcription).
MTPL reviews the transcribed report against the actual dictation
Our review applies industry-specific standards
The reviewer (or the review process) provides timely and consistent feedback to the medical transcriptionists in order to eliminate repetition of errors
MedicoTrans discloses all measurements, standards, and benchmarks to the medical transcriptionists as per written guidelines by the healthcare provider or MTSO
Our organization policy has designed an Assurance Program for the application of these principles

Frequency
At MedicoTrans, reports transcribed by medical transcriptionists who are new to our organization undergo review on a regular basis until competency and judgment have been consistently demonstrated

Delineation
We have established clear qualification and quantification of errors for the purposes of document evaluation

Accuracy
MedicoTrans has set the following goals for transcriptionists. Our transcriptionists have to strive to ensure that every document is 100% accurate, at least 98% accuracy with respect to all errors, at least 98% accuracy with respect to major errors, and 100% accuracy with respect to critical errors
